FAS, Forms Automation System, an electronic data capture plateform

FAS, a capture and management platform for handwritten data

Kayentis Digital Pen & Paper solutions are based on the FAS (Forms Automation System) platform and the Anoto pattern technology. They revolutionize data collection and processing on paper forms, without requiring major changes to existing forms:

Efficient: FAS allows savings in time and money by speeding up data processing and significantly reducing conventional processing expenses.
Simple: As easy to use as a regular pen and paper, FAS simplifies data processing.
Smooth integration: FAS adapts easily to existing information systems. This platform allows merging of forms and information from business applications, enabling custom printing on demand.

Design data entry forms

By integrating the text or illustration fields and the data entry fields (check boxes, digit date fields and free text) that require monitoring, once the data is collected.

Print from personal printers to rotary presses

During printing, a pattern that is invisible to the naked eye is applied to the ordinary paper. This pattern “stamps” each sheet in a unique way so that it can be “read” by the pen.
To adapt to operational requirements, there are two print modes: printing on demand on a standard laser printer, to satisfy limited individual needs, and centralized printing for bulk requirements (a unique and exclusive solution was developed with three companies in France and one in the United States).

Capture handwritten data with a Digital Pen

The digital pen works just like an ordinary pen. The ink deposited on the paper is photographed (75 images/second), digitized and stored in the pen (memory size: 200 pages approx.) During transfer, the data is encrypted (20 kb/page) and then transmitted to the server that manages the FAS platform. Only pen movements relative to the paper are transmitted, in order to ensure exchange confidentiality.

Manage data integration and flows

As the core of the system developed by Kayentis, the FAS application manages all incoming flows (“digital ink” collection) and outgoing flows (form generation and printing) in order to extract the content in the form of recognized characters from free handwriting (cursive) or formatted writing (preset fields).

Organize data to make it accessible and usable

The last module of the software suite integrated by Kayentis handles data feedback. It transfers the data from FAS (images and data) to the company’s information system, in accordance with the stakeholders’ login and authentication procedures and its data consulting, modification and archiving processes.

FORMS: a multisector collaborative solution

Based on the FAS platform, FORMS is a solution for collecting handwritten probative data in environments subject to high sharing, security and regulatory compliance constraints. It combines the best the physical and digital worlds have to offer: the data collection mode that is the easiest for users (paper & pen), plus all the advantages of electronic data management.

FORMS, a SaaS solution

As an SaaS solution, FORMS is based on two components: the Digital Pen & Paper technology, making paper communicative, and a secure Web portal enabling data sharing and processing.

A true collaborative solution, FORMS firstly offers workflow features on several levels:

• Data importing for pre-completion of forms
• Writing via several profiles on digital forms and information transmission in real time
• Data confirmation/correction

Advantages of an electronic data collection solution

Real time data availability (image of paper forms completed with digital pen) via a Web portal
Secure Web portal available to all authorized personnel: management of various profiles via logins and passwords
• Form indexation (through the uniqueness of the pattern and the pre-completion features), storage and archiving.
• Precise data timestamping
Traceability features: who writes what, how, when and on which document?
Data execution and consistency check with alert generation (email, SMS, etc.)
• Data export capabilities using Web services in order to generate files in the desired format (XML, Excel, etc.) or to integrate them in business applications (ERP or other)

All the while drastically reducing costs generated by the process of collecting handwritten probative data in face-to-face meetings.

DLIS: a technical event management platform

DLIS (Digital Logbook Information System) is a platform dedicated to managing maintenance data and technical events.

This solution optimizes the advanced quality checks conducted on assembly lines, where defects or problems must be identified, processed and corrected as quickly as possible to meet delivery deadlines.

 DLIS offer

• An application allowing  maintenance and technical event data to be transmitted in real time using forms (part lists, retouch sheets).
• A business portal allowing:

- Checking of equipment progress: display of stage and state of forms using displayed images or summary lists
- Consulting of alerts issued and recapitulated for each type of form
- Consulting of defect summary calculated at each stage using transmitted and approved retouch sheets

DLIS advantages

 DLIS provides concrete answers:

• To real-time monitoring requirements
• To the need to provide an intuitive and universal data collection tool requiring little special training
• To the need to comply with trades practices by offering the possibility of working offline in harsh or hard-to-access environments, in accordance with team mobility
• To the need to exchange information between field technicians and the Industrial Department
• To the obligation to archive documents as probative value (regulatory compliance)
• To the traceability requirements of stakeholders and related processes

This application is a form management platform that is designed to deal with the issues of all persons involved in production control processes, as well as to promote exchanges between the latter. Furthermore, the dashboards are a real decision aid for any corrective and/or conservative actions.
